01Choose an office task with approved source material

Begin with preparing a routine notice from an approved school calendar, or drafting an answer about a published procedure. Name the office staff member who checks dates, contact details and wording before distribution. The assistant should prepare work for that reviewer and link the source used for every material instruction.

Our suggested first pilot excludes admissions decisions, student ranking, disciplinary judgement, safeguarding case assessment and individual learning or health recommendations. It also excludes bulk access to student records. A school can evaluate useful administrative drafting using approved public or internal procedural material without first connecting its most sensitive systems.

02Separate reusable instructions from individual cases

  • Create an approved set of calendars, notice templates, collection arrangements and contact details. Mark draft dates and superseded notices so the assistant cannot silently treat them as current.
  • Remove names, identifiers and case histories from trial examples unless the school has specifically approved that processing. Write the approved data boundary before selecting a product.
  • Assign bilingual review to staff who can check meaning, dates, exceptions and tone in both languages. Agree which version governs when the sources differ.
  • Route individual welfare, fee hardship, medical and disciplinary enquiries to the existing responsible person through the school’s approved channel.

Ask office staff for the queries that interrupt them repeatedly and the mistakes they most want to avoid. A useful test bank includes an ambiguous collection time, a cancelled event, a question about another year group and a request for an individual student’s details. Write the correct response or handoff for each one.

03Make approval visible in the workflow

  1. 01Prepare the draft from selected sourcesHave the staff member select the event or procedure and supply the audience. The assistant returns a draft and identifies missing information instead of filling gaps with plausible details.
  2. 02Check the details against the originalsThe reviewer confirms dates, venue, year group, costs if any, required action and contact person. For translations, compare both versions against the source rather than comparing only their tone.
  3. 03Approve through the existing channelKeep sending and publication under the school’s ordinary approval process. Record the final version and approver so a later correction can identify which notice was actually distributed.

04Measure the complete preparation cycle

This result may justify a modest office aid, but it does not support a school-wide AI programme by itself. Compare the benefit with improving a template library or calendar process. If most errors come from inconsistent event information, assign one calendar owner and fix that source before increasing the trial’s scope.

05Require trustworthy drafts and a clear human route

  • RECOMMENDATION

For a school office with limited technical capacity, we recommend a small draft-only pilot over approved notices, with a named bilingual reviewer and no automated distribution.

BasisThis depends on routine administrative content and existing publication approval. Microsoft’s primary privacy and permissions documentation is relevant to product review; school-specific suitability still requires review of the actual plan and data use.

An illustrative acceptance gate is 90% of routine drafts meeting the office rubric, every tested sensitive case routed correctly, all dates and recipients checked before approval, and positive net staff time after maintenance. Require a successful correction exercise: replace a notice, remove its old version and confirm that subsequent drafts use the replacement.

Stop if the assistant exposes a student’s information, invents a school policy, sends a notice without approval or makes an urgent human contact difficult to reach. Record each incident and repair its cause before resuming. Review jurisdiction-specific privacy and education requirements with the school’s responsible staff; this guide supplies a pilot method rather than a compliance conclusion.
