01Buy procedure retrieval before operational instruction

Start with a task such as finding the approved changeover checklist for a named production line. Require the equipment identifier, site and relevant product or process context. The assistant’s first job is to locate the applicable controlled document and show its reference. The supervisor remains responsible for deciding what action is appropriate.

For an initial pilot, we recommend excluding control of equipment, bypassing interlocks, diagnosis of safety-critical faults and generated operating instructions. Do not let a summary quietly become an alternative procedure. If an answer needs a sequence of steps, preserve a direct path to the approved document and have the responsible subject expert define whether summarisation is allowed.

02Keep the document control system authoritative

  • Include document number, revision, effective date, equipment applicability and owner for every SOP. Reject unapproved drafts and clearly distinguish reference material.
  • Test a newer revision replacing an older one. The answer should point to the approved version and avoid combining instructions from incompatible revisions.
  • Keep access consistent across employees, contractors and sites. Make restricted engineering information unavailable to people outside the intended group.
  • Decide what the assistant does when the network or document source is unavailable. The approved fallback must remain usable without a generated answer.

Ask supervisors for real search failures: an old machine nickname, a spare part number, a translated term or a fault description that could refer to two lines. These are useful test cases because they require context. If two procedures remain plausible, the expected answer should ask for clarification or route to the supervisor.

03Follow a supervised lookup on the shop floor

  1. 01Identify the equipment and taskUse a controlled identifier where available. Have the assistant repeat the selected equipment and task so the worker can catch a mismatch before reading further.
  2. 02Retrieve the applicable sourceShow the document title, revision and relevant passage with a link to the complete procedure. Record when the source index was last refreshed.
  3. 03Confirm through the existing authorityThe supervisor checks applicability. The assistant may help locate the required checklist, but existing permit, training and sign-off processes still determine whether work proceeds.

04Treat a wrong revision as a failed task

Count time spent clarifying the equipment and opening the complete procedure. If these steps are needed for safe use, removing them from the timing produces an unrealistic benefit estimate. Record document-control issues separately from retrieval mistakes so the owner can decide whether the next investment belongs in source cleanup or application changes.

05Set gates around applicability, not eloquence

  • RECOMMENDATION

For manufacturing procedure search, we recommend a supervised, read-only pilot that treats wrong equipment, wrong revision and invented steps as stop conditions.

BasisThis depends on controlled procedures and consequential mistakes. Microsoft’s permission model documentation informs access questions only; it is not evidence that any assistant is safe for plant operations.

An illustrative acceptance gate requires every designated equipment and revision challenge to return the correct source or refuse, all tested access restrictions to hold and a reduction in median lookup-and-confirm time on ordinary cases. Have the plant’s competent owner set any additional requirements before the trial. A small set of successful lookups cannot establish operational safety.

Stop if the assistant invents a maintenance interval, removes a warning from an allowed summary, mixes incompatible procedures or appears to authorise work. Maintain an obvious report button and a named document owner. After each approved source change, rerun the relevant questions before allowing the updated material into wider use.
